Job Summary

Reporting to and receiving direction from the Associate Registrar for Undergraduate Graduation Evaluation, the Degree Progress Graduation Evaluator independently manages complex tasks related to graduation candidacy verification, degree processing, and awarding. This role involves auditing and analyzing student progress in meeting Title 5, CSU, and University requirements for undergraduate degrees, requiring a high level of professional judgment. Serving as a liaison to college success center advisors and campus departments, the Degree Progress Graduation Evaluator provides essential degree-related information to support effective advising on university, major, minor, residency, and honors requirements. The Degree Progress Graduation Evaluator serves students by offering information regarding policies and procedures, suggesting actions, and developing and recommending solutions to address issues. The role’s primary objective is to provide accurate and helpful information, fostering positive relationships while ensuring students meet their graduation requirements efficiently.

 

Key Responsibilities

  • Evaluates student’s eligibility to graduate by auditing a student’s compliance with degree requirements based on established Title 5, CSU, and University policies and procedures
  • Provides appropriate solutions to satisfy outstanding requirements while explaining relevant policies, regulations, and procedures. Refers students to other academic units when appropriate
  • Provides comprehensive advice to students on complex and sensitive issues relevant to transfer credit and graduation requirements (GPA, GE, catalog rights, etc.)
  • Works with academic departments and the advising center to ensure that requirements enforced in the degree progress report accurately reflect general education and major requirements at SJSU
  • Advises students, staff, and faculty with understanding students’ degree progress reports, including adding course substitutions and exceptions to the MyProgress Report
  • Collaborates with the Admissions Office and Articulation Officer to resolve transfer credit and articulation issues
  • Evaluates transcripts and posts transfer credits for students who have applied for graduation

 

Knowledge, Skills & Abilities

  • Ability to communicate with constituents in a professional and respectful manner
  • Ability to interpret complex CSU and SJSU policies related to transfer credit, GE, catalog rights, GPA, etc.
  • Working knowledge of software applications: word processing, spreadsheet, database management
  • Ability to perform accurately in a detail-oriented environment
  • Ability to handle multiple and complex work priorities, organize and plan work and projects
  • Ability to reason logically and analyze and solve organizational and operations problems of one or several program areas and recognize specific college needs
  • Ability to maintain confidentiality and appropriately handle sensitive communications with students, parents, employees and external agencies
  • Ability to interpret and apply program rules and regulations
  • Ability to advise students individually and in groups on routine matters when required
  • Ability to use tact and sensitivity to ensure students’ understanding of complex information
  • Familiarity with FERPA and data security best practices
  • Strong oral communication and critical thinking skills
  • Must possess excellent customer service and public relations skills
  • Ability to prioritize and effectively utilize time management skills in daily tasks

 

Required Qualifications

  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job‑related field
  • Two (2) years of professional experience in one of the student services program areas or in a related field. A master’s degree in a job‑related field may be substituted for one year of professional experience

 

Preferred Qualifications

  • Earned Bachelor’s Degree
  • Four years of professional work experience in a higher education environment in areas of operations such as records, graduation, admissions, advising in a large size institution
  • Experience in involving data review and analysis in a fast paced environment

 

Compensation

Classification: Student Services Professional II
Anticipated Hiring Range: $4,841/month - $4,878/month
CSU Salary Range: $4,841/month - $6,884/month

Additional Information

Satisfactory completion of a background check (including a criminal records check) is required for employment. SJSU will issue a contingent offer of employment to the selected candidate, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was offered the position on a contingent basis.
