Job Summary

Reporting to the Director of Enrollment Management Technical Implementation and Communication (EMTIC), with a dotted line to the Associate Director of Communications in EMTIC, the Publications and Communications Coordinator is responsible for coordinating the development and production of communications through various media in support of enrollment management goals and student success initiatives. The incumbent works collaboratively with departments within Enrollment Management to identify needs and create corresponding integrated communication campaigns including publications, web resources, MySJSU messages, emails and other communications. This person will act as liaison with departments and units outside of enrollment management to create, collect, and edit information for Enrollment Management publications, websites, and communications. As a member of the team, this incumbent will be responsible for the development and execution of both internal and external communication plans for Enrollment Management. This position performs tasks related to the functional and technical aspects of the communication plan related to Enrollment Management departments and strategic partners in Student Affairs including the development and implementation of web, print, electronic, social media and CRM content. Working independently and under minimal supervision, the position is responsible for maintaining a high level of knowledge regarding a communication system that attracts, recruits, enrolls, and graduates academically qualified, culturally diverse, and socially conscious populations of undergraduate and graduate students. As a representative of San Jose State University, this person maintains a high level of expertise in requirements, processes, and regulations to facilitate quality customer service and advising in supporting students’ decision to apply and attend SJSU. The Enrollment Management Communications Coordinator will develop and maintain accurate and transparent documentation of the communication process and workflow in order to maintain levels

 

Key Responsibilities

  • Works with EMTIC management to create, implement and measure the success of a comprehensive marketing and communications strategy that will support SJSU’s Strategic Enrollment Management plan/goals
  • Develops content on behalf of Enrollment Management units in print, social media, electronic and web formats
  • Writes and edits print, web, social media and direct communication content for both internal and external audiences
  • Writes, edits, and manages content on web sites maintained by Enrollment Management
  • Maintains expert knowledge of recruitment and admission programs and services. Keeps current and interprets California State University (CSU) and SJSU policies, procedures and office practices, by participating in training and working meetings on a regular basis
  • Managing the life cycle of integrated communication plans and web projects from inception to implementation
  • Collaborate closely with graphic design team to translate content needs into final communication piece of print, electronic and web
  • Manage phases of review process for integrated communication plans/campaigns including electronic, social media, print and web components
  • Manage development of print and online content pieces to create timely, accurate and complete publications and communications across media platforms
  • Develop and manage an enrollment management communications assessment plan including survey instrument development and administration and focus group coordination and administration
  • Works with EMTIC management team to identify patterns of questions from constituents to suggest improvements or changes to integrated communication plans/campaigns

  • Maintains knowledge of current enrollment planning initiatives (including, but not limited to Strategic Enrollment Management, Admission Registration, Financial Aid, Student Success and Impaction plans) to act as resource for staff and students
  • Superior oral and written communication skills
  • Must possess excellent customer service and public relations skills
  • Working knowledge of methods, procedures, practices and activities of the program area
  • Ability to interpret and apply program rules and regulations
  • Ability to rapidly acquire a general knowledge of the overall operation, functions and programs of the campus
  • Ability to maintain confidentiality and appropriately handle sensitive communications with students, parents, employees and external agencies
  • Expert level knowledge of English grammar, business writing, punctuation and spelling
  • Ability to use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements
  • Ability to reason logically and carry out very complex assignments without detailed instructions
  • Ability to analyze and define complex organizational, policy or procedural problems, collect and evaluate data, draw valid conclusions and project consequences of various alternative courses of action
  • Ability to compose and appropriately format correspondence and statistical data reports
  • Ability to recognize multicultural, multi-gendered, and multi-aged value systems and work accordingly
  • Working knowledge of technology and software applications such as Adobe Creative Suite, word processing, spreadsheet, database management, customer relationship management (CRM) and communication tools.
  • Ability to perform accurately in a detail-oriented environment. Must plan and execute multiple work priorities, organize and plan work and projects
  • Ability to quickly and accurately modify communication plan in response to changing directives and enrollment environment

 

Required Qualifications

  • A bachelor's degree and/or equivalent training
  • Four (4) years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs

 

Preferred Qualifications

  • Bachelor’s degree in mass communications, graphic design, educational technology, communications, or related fields, or similar certified coursework in applicable fields of study
  • Excellent written communication skills
  • Experience in web and print content development, including project planning, vendor management, and editorial oversight
  • Experience handling multiple work priorities, organizing and planning work and projects
  • Experience indicating strong consultative and persuasive skills in presenting communication plan elements to clients and partners
  • Three (3) years of experience working in marketing/communications

 

Compensation

Classification: Administrative Analyst/Specialist – Exempt II
Anticipated Hiring Range: $6,125/month - $6,420/month
CSU Salary Range: $5,022/month - $9,083/month
