Job Summary

Under the general direction of the Director of Equity Programs, the Associate Director provides comprehensive student support services, holistic academic and financial aid advising to Guardian Scholars program participants. Serves as the lead to Guardian Scholars staff and students. This role is responsible for communicating program eligibility requirements, policy updates, and available grants and scholarships to students.

The Associate Director oversees internal processes to ensure the efficient and timely delivery of services and resources. The Associate Director provides services that are equitable, inclusive and provide culturally sensitive services that enhance the quality of campus life. The Associate Director uses a student centered and equity minded approach in all communication and service efforts.

Key Responsibilities

  • General Supervision of the Guardian Scholars Program: Provide general supervision of all aspects of student support services, program services, resources, programming, and activities.
  • Reporting and Assessment: Collect and present data on Guardian Scholars program outcomes.

Knowledge Skills and Abilities

Exercises professional judgment to determine treatment of exceptional circumstances.   Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment. Understand the importance of using inclusive language that does not promote gender/ethnic coding, discrimination, and/or selective pronoun usage for faculty, staff, and students. Contribute to equitable and inclusionary work to support student-success that strengthen on retention and graduation. Knowledge of PeopleSoft as well as databases is required to process and monitor applicants highly preferred. Knowledge of the University admission procedures and requirements of EOP/Guardian Scholars. Working knowledge of word processing, spreadsheet and graphics programs.  Ensure confidentiality to students who request, or are identified as requiring such assistance. 

Use sound judgment in interpreting issues, initiate referrals to other campus offices, departments, individuals and programs which can provide adjunct assistance as appropriate. Develop and implement other projects related to retention and/or overall department goals and efforts. Ability to work with diverse faculty, staff and student population. Ability to work as part of a team through close collaboration with colleagues and coordinate with others. Ability to work effectively and productively as part of a team by establishing and maintaining cooperative working relationships and maintain a positive and respectful attitude.

Ability to consistently report to work on time prepared to perform the duties of the position. Thorough knowledge of office systems and ability to use a broad range of technology, systems, and software applications. Ange of complex issues, procedures, policies, ideas, information and instructions. Excellent writing and editing skills (including grammar, sentence construction and vocabulary) to compose and proofread professional level copy of letters, proposals, reports, meeting notes, invitations and announcements. Outstanding grammar, typing, and proofreading skills. Skill in reading Standard English for understanding information (e.g. business correspondence, legal and contract documents and University manuals, policies, procedures and regulations). Experience with editing and proof-reading a variety of written documents and publications. 

Interpersonal skills to establish and maintain cooperative working relationships & communicate clearly & effectively with vendors, staff, peers, administrators, Campus personnel, clients, state officials, and the public. Skill in developing, implementing and assuring compliance with office and University policies and procedures while maintaining good working relationships with staff at all levels within and external to the University. Demonstrated skill in conducting research, developing reports, and presenting findings. Skill in analyzing information, problems, situations, practices and procedures to define problem or objective, identify relevant concerns or factors, formulate logical objective conclusions, recognize alternatives and their implications and in generating solutions to problems as they arise.Skill in sound time management including prioritizing assignments to complete work in a timely manner. Flexibility with changes in workload, under pressure of deadlines, competing requirements, heavy workload and constant interruptions. Ability to work under pressure and remain calm and focused, and to calm and give focus to others in an extremely hectic fast-paced work environment.

Skill in analyzing information, problems, situations, practices, or procedures to define the problem or objective; identify concerns or factors, patterns, relationships; formulate logical and objective conclusions; and recognize alternatives and their implications. Ability to exercise sound judgment and handle confidential matters with tact and diplomacy, and to maintain confidentiality of information as needed or to protect the rights of individuals or the University. Skill in working independently with minimal direction, in setting priorities and schedules and in identifying and adhering to departmental objectives. Ability to apply independent, reasoned judgment, discretion and initiative to address problems and develop practical, thorough and technically accurate solutions. Experience with a broad range of Microsoft Office Suite (including Excel, PowerPoint, Visio) and Adobe software to ensure that incumbent will be able to prepare a wide variety of correspondence, reports, forms, brochures, flyers, agendas, minutes, advertisements and text for printed materials and web pages. Knowledge of Adobe Creative Suite, Adobe Contribute, and html would be a plus. Experience maintaining an administrator’s calendar, arranging meetings, establishing agendas and participating in meetings with small and large groups of people.

 Ability to provide excellent customer service to the Campus community, vendors, and other outside agencies. Skill in performing customer service in a polite and timely fashion: ability to identify what customer needs and reroute him/her to the correct department; ability to relay customer requests and complaints accurately and appropriately; to describe and convey services provided by the Division. Experience with working with a diverse group of individuals and multicultural university environment.  Demonstrated skill in assisting and speaking with persons of various ages, socio-economic, cultural and/or education backgrounds. Ability to coordinate, organize and demonstrate command of a complex and continuously changing array of information, dates, places and people in a systematic way in order to optimize efficiency and minimize duplication of effort in the process of completing administrative support projects. Skill in making travel arrangements; familiarity with airline schedules, rental car reservations and University travel regulations, etc. Experience working in a university setting or housing office preferred. Thorough knowledge of online student information systems strongly preferred. Demonstrated ability to conduct presentations to groups of varying sizes.  Ability to make written and oral presentations/reports in English and in Spanish, highly preferred.

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

  • Equivalent to a bachelor's degree with upper or graduate coursework in counseling and guidance, human relations, or related fields and four years of professional experience in one of the student services program areas required.

Preferred:

  • Graduate degree in Student Development & Higher Education (SDHE), MSW or closely related graduate degree.
  •  Five years of progressive experience supervising and leading professional staff is highly.
  • Five years of progressive experience supporting foster youth in a university or similar setting.
  • Ability to work weekends and flexible work time as needed and determined by operational needs.

Physical Summary

Medium work - Job involves lifting heavy-weight objects (20-40 pounds) and/or 20% - 40% of the job involves standing, squatting, kneeling, or walking. May require pushing or pulling objects within the weight limits.

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $6,320 - $9,014 per month.

Hiring Range: The hiring range for this position is $6,320 - $7,000 per month commensurate with candidate's education, experience, skills, and training.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for one year with no permanent status granted. Temporary assignments may expire prior to the ending date.
