Job Summary

Under the general direction of the HR Manager, the incumbent is responsible for coordinating project activities related to the initiation, execution, coordination, implementation of HR operations. Offers consistent program and organizational support by coordinating requests and addressing issues, managing a variety of complex and diverse demands.

The ARSP Administrative Coordinator plays a critical role in supporting HR functions and daily operations for Academic Resources and the Office of the Provost. In addition to providing support in all areas of HR, including recruitment and hiring, separations, reappointments, and rate changes, the coordinator addresses and processes daily incoming requests from the seven colleges, professional support units, and the library. The coordinator further provides assistance to the Office of the Provost and works in conjunction with the Executive Assistant to guarantee effective support operations.

Key Responsibilities

  • HR Administration and Relations - Coordinate recruitment activities for new hires, consultants, casual workers, emergency hires, and retired annuitants. Prepare recruitment documentation, obtain appropriate approvals, and submit recruitment requests. Assist with identifying candidates, scheduling interviews/meetings, conducting reference checks, and preparing employment contracts. Update recruitment status reports and PageUp.
  • Monitor Academic Resources Email Account - Promptly respond to email requests and inquiries. Coordinate with the Academic Resources team as necessary to provide accurate responses.
  • Provost Office Support - As needed, provide a broad range of high-level administrative support to the Provost and Vice Provost of Academic Planning.

Capability to manage matters of a confidential and sensitive nature. Maintain professional discretion and confidentiality. Ability to juggle multiple tasks and projects simultaneously. Ability to execute tasks with minimal supervision. Excellent organization, communication (both written and verbal), and interpersonal skills required. Microsoft Office knowledge (Word, Excel, Outlook). Intermediate MS Excel skills preferred. Working knowledge of PeopleSoft Common Management System preferred. Working knowledge of HR practices and procedures helpful.

Education and Experience

• Equivalent to five years of administrative support experience required.

• Bachelor's degree in Business Administration preferred.

• Minimum of 3 years of working experience in Human Resources and/or Finance preferred.

Physical Summary

  • Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

Hiring Range: The hiring range for this position is $4,058 - $4,410 per month commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $4,058 - $6,653 per month.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.
