Job Summary

Reporting to the Director of Resources and Operations and receiving work lead direction from the Department chair and the Clinic Director, this position is responsible for the day-to-day operations and activities of the Kay Armstead Center for Communications Disorders (KACCD). This incumbent works with general supervision to provide various moderately complex administrative support to the Department Chair, Clinic Director, faculty, staff, students and clients of the Communicative Disorders & Sciences department, clinic and community.  The Clinic Coordinator is responsible for student database and associate tasks; clinic coordination tasks associated with student clinicians and clients; track and coordinate the clinic budget; and administrative tasks for the department and clinic in conjunction with the department coordinator.

 

Key Responsibilities

  • Implement all data collection and administration to assure ASHA and CTC competencies are being met.
  • Collect and track undergraduate clinic requirements documents and enter into a database
  • Notify students of missing undergraduate clinic requirements
  • Review and ensure Graduate and OF compliance with clinic requirements
  • Generate reports to ensure ASHA and CAA accreditation in Calipso
  • Create and maintain contractual agreements between the department and off-site clinical placements, including communication with sites and university procurement offices on all affiliation agreements.
  • Manage clinic rooms - Organization, maintenance and inventory of materials and assessment tools.
  • Maintain confidential clinic files
  • Distribute placement and enrollment codes for all courses and clinics
  • As requested from the department chair or clinic director including by not limited to marketing, clinical supervisor data collection, research for community or client needs, etc.
  • Complete clinic website update/maintenance
  • Track funds and expenses for clinic accounts (Tower and Trust) with the following systems: Data Warehouse, Tower (Blackbaud), FTS, CFS
  • Provide budget summaries to DCE and department chair on regular basis and as requested

 

Knowledge, Skills & Abilities

  • Thorough knowledge of methods, procedures and practices; English grammar, business writing, punctuation and spelling
  • Ability to compose and appropriately format correspondence and reports.
  • Ability to maintain confidentiality of student and client files.
  • Expertise in using office software packages (word processing, spreadsheet, database management), technology, and systems
  • Ability to perform accurately in a detail-oriented environment.
  • Ability to plan and handle multiple work priorities, trouble shoot and organize work projects
  • Ability to analyze and determine administrative routines and tasks needed for projects
  • Ability to analyze and report on trends (financial and operational) represented in historical data
  • Strong oral communication skills. Must possess excellent customer service and public relations skills
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.

 

Required Qualifications

  • Completion of a high school program, technical/vocational program, or their equivalents
  • Three years of related office work experience

 

Preferred Qualifications

  • Bachelor’s Degree
  • Administrative experience working in an office with complex and diverse tasks
  • Excellent written communication skills
  • Excellent customer service
  • Experience with SJSU policies and procedures specifically dealing with Procurement Services, FD&O, Admissions and Records, Tower/Research Foundation and processing of invoices/reimbursements/requisitions/ and travel requests
  • Experience with Microsoft Office Suite, PeopleSoft, CMS/FTS,CFS, G Suite (e.g., Gmail, Google Drive), Adobe Acrobat, DocuSign

 

Compensation

Classification: Administrative Support Coordinator II
Anticipated Hiring Range: $4,156/month - $4,447/month
CSU Salary Range: $3,505/month - $5,497/month

Additional Information

Satisfactory completion of a background check (including a criminal records check) is required for employment. SJSU will issue a contingent offer of employment to the selected candidate, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.
