Job Summary

The College of Science (CoS) Curriculum and Research Analyst provides support to the Associate Dean for Academics (50%) and the Associate Dean for Research (50%). Working independently under general supervision, the Analyst meticulously and accurately performs a variety of analytical and administrative work requiring student, faculty, staff and administrator contact. The Analyst gathers, organizes and analyzes, and prepares reports on RSCA, student, and scholarship data to help forecast the needs of the College. The Analyst also manages, maintains and updates the CoS website, attends meetings as assigned and takes and distributes notes, assists the Associate Deans with organizational tasks associated with meetings and events, and performs additional tasks as assigned. The Analyst also assists the Dean’s Office staff with tasks as assigned to ensure the efficient functioning of the Dean’s Office. 

 

Key Responsibilities

  • Gathers, organizes, analyzes, prepares reports on and communicates RSCA data to the Associate Dean for Research to help predict and address the RSCA needs of departments and the College
  • Schedules and logistics for CoS Research Committee and other meetings. This includes meetings to organize grant proposals and CoS Strategic Plan goals
  • Gathers, organizes, analyzes, prepares reports on and communicates student data to the Associate Dean for Academics to help predict and manage future demand and enrollment in the departments and College
  • Schedules and logistics for Curriculum Committee and other meetings. This includes meetings to organize curricular grant proposals and CoS Strategic Plan goals
  • Prepares and distributes Curriculum Committee and other meeting summaries
  • Coordinates and/or gathers, edits and posts new content or changes organization of the CoS website when requested, and ensures website accuracy.
  • Manages and maintains the CoS website to meet professional standards, frequently reviewing entire CoS website for typos, accuracy and currency of links and immediately addressing any issues
  • Oversees scholarship financial information
  • Updates Academic Works and determines how many scholarships can be awarded
  • Reviews requirements for scholarships in academic works for accuracy and addresses issues
  • Trains committee on Academic Works when necessary
  • Ensures ongoing student eligibility for distributing scholarship checks
  • Serves as liaison with vendors on event-related matters, handles payments and works within budgetary restrictions
  • Coordinates logistics for catering, venue and day of event needs and sends notifications.
  • Sets up specific or regular webinars with required features (e.g. practice rooms and automatic recording)
  • Processes travel reimbursements for the associate deans
  • Helps with scheduling and logistics for meetings for the associate deans at all levels within the university
  • Keeps abreast of new policies and procedures and does research on university policy and procedures and reports back when requested
  • Responds promptly to emails and phone calls during core business hours
  • Assists the Dean’s Office administrators and analysts with tasks as assigned to ensure the efficient functioning of the Dean’s Office
  • Attends meetings as assigned and prepares and distributes meeting summaries
  • Creates and maintains electronic forms as needed
  • Processes appointment forms for TAs, SAs, ISAs, volunteers and other positions when requested
  • Coordinates lecturer evaluations for courses as assigned

 

Knowledge, Skills & Abilities

  • Ability to develop a thorough knowledge of SJSU and College of Science curriculum and research policies, procedures and practices
  • Ability to develop a thorough knowledge of Research Foundation and Tower Foundation programs, policies, procedures and practices
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations
  • Ability to infer conclusions from data analysis and present data in a way that conveys those conclusions clearly to stakeholders
  • Ability to produce clear analyses, written reports, and documentation for executive managers' use in decision-making
  • Working knowledge of operational and fiscal analysis and techniques
  • Advanced skills in Microsoft Office Suite software (e.g. Word, Excel, PowerPoint, etc.) and PeopleSoft Student Records
  • Advanced skills in Google Drive, Google Sheets, Google Docs, Google Forms and other apps as needed
  • Advanced skills in Zoom and other associated software
  • Advanced skills in web content management systems, and understanding of general website architectures, and the ability to change and maintain the CoS website
  • Excellent oral and written communication skills
  • Ability to interact verbally and in written communications with faculty, staff, administrators, external constituents with the utmost decorum and tact
  • Ability to accurately prepare and distribute meeting summaries

 

Required Qualifications

  • A bachelor's degree and/or equivalent training.
  • Two years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices or programs.

 

Preferred Qualifications

  • Proficient in MS Office and G Suite applications, PeopleSoft and other applications used at SJSU
  • Demonstrated customer/student service experience
  • Experience working in high education
  • Experience in data collection and analysis
  • Experience in student monitoring and evaluation practices

 

Compensation

Classification: Administrative Analyst/Specialist, Exempt I
Anticipated Hiring Range: up to $5,575/month
Salary Range: $3,897/month - $7,051/month
